OrcaChat guides & help

Everything you need to set up your bot, understand your conversations, manage leads, and get the most out of OrcaChat.

How to create your bot

Follow this guide to build, test, activate, and install your bot.

1. Create a new bot

  1. 1Go to the dashboard or the My Bots page.
  2. 2Click Create Bot.
  3. 3Your new bot opens in draft mode so you can set everything up before it goes live.

2. Start in the Knowledge tab

The Knowledge tab is the best place to start because it is where you teach the bot what it should know.

  • Add a website URL to import website content.
  • Upload a document if you want the bot to learn from a file.
  • Add Q&A items if you want to give the bot exact questions and approved answers.
  • Review or refresh knowledge items later if you need to update the bot's training.

3. Open the Settings tab

Once the knowledge is in place, move to Settings and configure how the bot should look and behave.

  • Give the bot a clear name.
  • Set or update the welcome message.
  • Set or update the fallback message.
  • Choose the widget color.
  • Set the display delay for when the widget appears.
  • Add contact details visitors can use to reach a human.
  • Turn lead capture on or off depending on whether you want to collect visitor details.

4. Save your changes

After updating the bot settings, save your changes so the latest configuration is stored before testing.

5. Test in Test & Deploy

Open the Test & Deploy tab and use the live preview panel to chat with the bot.

This is the best place to make sure the answers, tone, and lead capture flow work the way you expect before the bot is live on your site.

6. Activate the bot

Every bot starts in draft mode.

When you are happy with the test results, use the Bot Status controls in Test & Deploy to switch the bot from Draft to Active.

7. Copy your embed code

In the same Test & Deploy tab, copy the embed code shown for that bot.

That code is what connects your website to the correct bot.

The app shows the exact script for your bot. Copy it as-is before installing it on your website.

8. Install the widget on your website

In most cases, you will paste the embed code before the closing </body> tag or into your platform's footer/custom code area.

The exact steps depend on the website builder or CMS you use.

Wix
  1. 1Copy the embed code from Test & Deploy.
  2. 2Open your Wix site settings and go to the custom code area.
  3. 3Paste the code into the body-end or footer code placement.
  4. 4Publish the site and test the widget on the live page.
Squarespace
  1. 1Copy the embed code from the bot.
  2. 2Open Website Tools or Settings and find Code Injection.
  3. 3Paste the code into the footer section so it loads site-wide.
  4. 4Save, publish, and test the widget.
Webflow
  1. 1Copy the embed code from Test & Deploy.
  2. 2Open Project Settings or the page settings where you want the widget.
  3. 3Paste the code into the Footer Code area.
  4. 4Publish the site and confirm the widget appears.
Shopify
  1. 1Copy the embed code from the bot.
  2. 2Open Online Store and go to your theme settings or theme code.
  3. 3Add the code to the global footer area or just before </body> in the main theme layout.
  4. 4Save the theme and test the store front.
WordPress / typical CMS
  1. 1Copy the embed code from Test & Deploy.
  2. 2Paste it into your theme footer, site-wide code injection area, or a header/footer script plugin.
  3. 3Make sure it loads on the pages where you want the bot to appear.
  4. 4Save your changes and test the live site.

Exact menu names can vary by theme, plugin, or plan, but the goal is the same: add the bot's embed code to the global site footer or body-end code area.
